This privacy policy is intended to inform you as to how we look after your personal data – however you inter-react with us (including via use of our web-site(s) – and – regardless of where you visit any of them from) and to tell you about your privacy rights and how the law protects you.

This privacy policy has sought to have been prepared in plain English (and is provided with β€˜Headings’ with the aim that you can easily review the specific areas set out below).

3. THE DATA WE COLLECT ABOUT YOU

Personal data, or personal information, means any information about an individual from which that person can be identified. It does not include data where the identity has been removed (anonymous data).

We may collect, use, store and transfer different kinds of personal data about you – which we have grouped together as follows:

  • Identity Data including first name, last name, title, date of birth and gender.
  • Contact Data including billing address, delivery address, email address and telephone number.
  • Financial Data including bank account, payment card and electronic payment details.
  • Transaction Data including details about payments to and from you and other details of products and services that you have purchased from us.

We may also collect, use and share Aggregated Data such as statistical or demographic data for any purpose. Aggregated Data may be derived from your personal data but is not considered personal data in law as this data does not directly or indirectly reveal your identity. For example, we may aggregate your Usage Data to calculate the percentage of users accessing a specific website feature. However, if we combine or connect Aggregated Data with your personal data so that it can directly or indirectly identify you, we treat the combined data as personal data which will be used in accordance with this privacy policy.

We do not collect any Special Categories of Personal Data about you (this includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health and genetic and biometric data). Nor do we collect any information about criminal convictions and offences.

If you fail to provide personal data

Where we need to collect personal data by law, or under the terms of a contract we have with you and you fail to provide that data when requested, we may not be able to perform the contract we have or you are trying to enter into with us (for example, to provide you with goods or services). In this case, we may have to cancel an order for a product or service you have made with us but we will notify you if this is the case at the time.

Please note that we may process your personal data for more than one lawful ground depending on the specific purpose for which we are using your data. 6. Marketing

Our goal is to give you options when it comes to how we use your personal information, specifically in marketing and advertising. We're considering setting up a privacy center where you can see and make decisions about your personal data usage or use the following mechanisms to control your personal data:

Promotional offers from us

We may use your Identity, Contact, Technical, Usage, and Profile Data to determine which products, services, and offers may interest you. This is known as marketing.

You will receive marketing communications from us if you have requested information or bought goods or services from us. You may also receive these communications if you provided us with your details when you entered a competition or registered for a promotion, and you have not opted out of receiving them.

8. INTERNATIONAL TRANSFERS

We do not intend to transfer your personal data outside of the United Kingdom of Great Britain and Northern Ireland (UK) and/or the European Economic Area (EEA) in the first instance.

However, if future circumstances require us to share your personal data outside the UK and/or the EEA, we will make sure to protect it by implementing at least one of the following safeguards:

  • Only transfer your personal data to countries that have been deemed to provide an adequate level of protection for personal data by the European Commission. 9. DATA SECURITY

We have implemented security measures to prevent accidental loss, unauthorised use or access, alteration or disclosure of your personal data. Additionally, we only grant access to your personal data to employees, agents, contractors, and other third parties who require the information for business purposes. They will only handle your personal data according to our instructions and are bound by confidentiality.

We have established procedures to handle any suspected personal data breaches and will inform you and any applicable regulatory bodies of such a breach when legally required.

10. DATA RETENTION

How long will you keep my personal information?

We will keep your personal information only as long as necessary to achieve the purposes we collected it for, including meeting legal, accounting, or reporting requirements.

To determine the appropriate length of time to keep your personal information, we consider the amount, nature, and sensitivity of the data, the potential risk of harm if there was unauthorised use or disclosure of the data, the reasons for processing the data, whether we can achieve those reasons through other means, and the relevant legal requirements.

By law, we must keep basic information about our customers (including Contact, Identity, Financial and Transaction Data) for six years after their account is closed (for tax purposes).

In some circumstances, you can ask us to delete your data. See "Request erasure" in the Glossary section below for more information.

In some circumstances, we may anonymise your personal data (so that it can no longer be associated with you) for research or statistical purposes. If we do this, we may use this information indefinitely without further notice to you.

11. YOUR LEGAL RIGHTS

You generally won't have to pay to access your personal data or to exercise your rights. However, we may require a reasonable fee if your request is clearly unfounded, repetitive, or excessive. In such cases, we may decline your request.

We may need to ask for specific information from you to confirm your identity and ensure that your personal data is not disclosed to unauthorised individuals. This is a security measure. We may also ask you for additional information to speed up our response.

We attempt to respond to all valid requests within a reasonable period. However, it may take us longer than usual to respond to complicated requests or multiple requests. If this occurs, we will notify you and keep you informed.

12. GLOSSARY

Lawful Basis

We use Legitimate Interest as the basis for processing your personal data. This means that we process your data in order to conduct and manage our business, and to provide you with the best service and secure experience possible. Before processing your data, we consider the potential impact on you (both positive and negative) and your rights, and we make sure that our interests do not override your rights. If our interests do impact you negatively, we will only process your data if we have your consent or if we are required to do so by law. We also use Performance of Contract as a basis for processing your data. This means that we process your data when it is necessary for the performance of a contract to which you are a party or to take steps at your request before entering into such a contract.

We may also process your personal data when it is necessary for us to comply with a legal or regulatory obligation that we are subject to.

Third Parties

We may share your personal data with other companies within our group of companies (from time to time) based within the UK and/or the EEA. These companies may be acting as joint controllers or processors.

We may also share your personal data with service providers based within the UK and/or the EEA (such as those who provide IT and system administration services), professional advisers and assistance service providers based in the UK and/or the EEA (including lawyers, bankers, accountants, auditors, insurers and consultants), and HM Revenue & Customs, regulators, and certain other public authorities based in the UK and/or the EEA. In addition, we may share your personal data with certain other third parties, such as market researchers, fraud prevention agencies, and price comparison sites.

Your Legal Rights

You have the right to:

  • Request access to your personal data (also known as a "data subject access request"). This allows you to receive a copy of the personal data we hold about you and to verify that we are lawfully processing it.
  • Request correction of any personal data we hold about you. This allows you to correct any incomplete or inaccurate data we hold about you, although we may need to verify the accuracy of any new data you provide us.
  • Request erasure of your personal data. This allows you to ask us to delete or remove personal data where there is no good reason for us to continue processing it. You also have the right to ask us to delete or remove your personal data where you have successfully exercised your right to object to processing, where we may have processed your information unlawfully, or where we are required to erase your personal data to comply with local law. However, please note that we may not always be able to comply with your request for erasure for specific legal reasons which we will inform you of, if applicable, at the time of your request.

  • Request restriction of processing of your personal data. This allows you to ask us to suspend the processing of your personal data in the following scenarios:
  • If you want us to establish the data's accuracy

  • Where you need us to hold the data even if we no longer require it as you need it to establish, exercise or defend legal claims
  • You have objected to our use of your data but we need to verify whether we have overriding legitimate grounds to use it.
  • Request the transfer of your personal data to you or to a third party. We will provide your personal data to you, or to a third party you have chosen, in a structured, commonly used, machine-readable format. Please note that this right only applies to automated information which you initially provided consent for us to use or where we used the information to perform a contract with you.
  • Withdraw consent at any time where we are relying on consent to process your personal data. However, this will not affect the lawfulness of any processing carried out before you withdraw your consent. If you withdraw your consent, we may not be able to provide certain products or services to you. We will advise you if this is the case at the time you withdraw your consent.
